RecordPoint and Microsoft: better together for gov records

Today’s post was written by Elon Aizenstros, chief executive officer of RecordPoint, the leading provider of rules-based records management solutions built exclusively for Microsoft SharePoint and Office 365.

RecordPoint logoEvery branch of government is responsible for managing and maintaining records so that future generations can understand and learn from our actions, decisions and policies. Microsoft SharePoint is an invaluable web-based tool to securely store, share and collaborate on content. Yet public sector, healthcare, education and other industries must comply with standards not supported by SharePoint. RecordPoint cost-effectively fills this gap with a compliant, enterprise-grade records management solution. We’re proud to partner with Microsoft to empower municipalities, states and national governments to embrace digital transformation of records to better serve citizens.

The importance of government recordkeeping

RecordPoint supports over 100,000 records managers and users around the world from our offices in Sydney, London and Bellevue, Wash. We see recordkeeping as vitally important, particularly for governments, which serve the public by retaining important records for hundreds of years. Most records are still maintained in costly paper, microfiche or legacy systems, while governments look ahead to cloud and hybrid environments. RecordPoint is dedicated to solving these challenges and using software to reduce the cost and complexity of records management and compliance with all global and local recordkeeping standards through our two automated records products:

    • Records365 brings record management to the cloud. Built for Office 365, this software as a service (SaaS) enables governments to ensure compliance with recordkeeping standards in the trusted Microsoft Azure cloud platform.
    • RecordPoint is an on premise or hybrid records management solution that’s compatible with all versions of Microsoft SharePoint and meets the same recordkeeping regulations.

Commitment to public-sector customers

Our commitment to customers—especially those in the public sector—is to provide a high-end compliance engine that delivers the appropriate controls to preserve and manage information—today and in the future. A few examples include:

    • Medicines & Healthcare products Regulatory Agency (MHRA): This U.K. agency, similar to the U.S. Food and Drug Administration, is transitioning to Records365. “RecordPoint will help MHRA take control of our vast stores of important data, realize organization-wide compliance and help us maintain our position as a world leader,” said John Quinn, MHRA’s CIO.
    • Fife Council, the local government for a Scottish community of 400,000, is moving to Records365 because their buildings were not fit to store paper records and they didn’t have a single view of all records under management. They expect substantial cost savings from reducing physical storage space and the greater efficiency of having one system. “The fact that you can manage your paper and your digital records together is fabulous,” said the council’s information manager.
    • Inter-American Development Bank (IDB), the largest development financing company in Latin America, had outgrown its on-premises document management system. By adopting Records365, IDB is realizing reduced costs and higher end-user adoption.

Our partnership with Microsoft

Screenshot of the RecordPoint dashboardRecordPoint has been developing SharePoint-based records management since 2003 and we’ve been a Microsoft Gold partner since 2009. When we first envisioned a cloud-based records management solution, we evaluated other cloud platforms but found that only Microsoft Azure could provide the capabilities that we—and our customers—need to ensure security and compliance. With Records365, we leverage Azure as a SaaS solution or work through a customer’s dedicated subscription. Our partnership also assures RecordPoint’s worldwide customers that their data is protected in Microsoft’s more than 100 global datacenters serving over 140 countries. For example, Microsoft is the only government cloud provider with six dedicated government U.S. datacenters, including two regions specifically for Department of Defense Impact Level 5 data. Best of all, by leveraging existing Microsoft investments, RecordPoint customers can use software they know to cost-effectively achieve the goal of controlled, preserved, governed and authentic records.

We truly believe RecordPoint and Microsoft are better together, and we look forward to solving your records management requirements. Please feel free to request a RecordPoint demo, and take advantage of free trials of Microsoft Azure or Azure Government and Office 365.
